You hear about it Mondayat the weekly meeting. The data knew on Wednesday

While half the requests live in chats and the figures sit in three different systems, the report shows half the truth. We pull the sources together and remove the manual handovers — without changing the tools you already run.

You are not losing customers. You just never see them

Eight situations that show up in almost every trading and manufacturing company. In each one a person stands between the data and the result. Open yours and see what fixes it.

What we do

Five directions. And what each one covers

The directions differ, the job is the same: remove the manual handover. Only the place changes — between the customer and the system, between systems, between data and decisions.

Chatbots

A bot answers where your customer already writes to you — website or messenger.

  • Website, Telegram, WhatsApp, Instagram
  • Books, answers, qualifies, hands over to a human
  • English, Spanish and Russian in one bot
  • One line of code on any website

Someone writes at ten at night — they get an answer at ten at night.

I want this too

Integrations

We connect the tools you already run so data moves between them on its own.

  • HubSpot, Pipedrive, Zoho, monday.com, GoHighLevel
  • Google Calendar, Calendly, Acuity, Square Appointments
  • Nothing you rely on has to change
  • Your CRM not listed? Send the name

Nobody retypes leads. Data lands where you already look for it.

Connect my CRM

AI agents

Not a bot that answers questions, but a worker that runs a process end to end.

  • Front desk: booking, reminders, rescheduling
  • Lead qualifier — that is our Reply24, go look
  • Reviews: asks, monitors, drafts replies
  • Documents and reports: invoices into a sheet, Friday summary

Review requested, lead sorted, report sent. You step in where you are actually needed.

Find the right agent

Process automation

We build the whole chain — from inbound request to the review request.

  • Request, triage, owner, CRM, reminder
  • Telegram notification the same minute
  • Unanswered requests come back as a reminder
  • Built around your order of work, not a template

The chain does not depend on one person remembering it.

Financial dashboards

Books in one app, bank in another, sales in a spreadsheet. We pull it into one screen.

  • QuickBooks Online, Xero, Odoo
  • Bank, Stripe, PayPal, Square, your spreadsheets
  • Read-only: the dashboard never writes to your books
  • Ours reconciles with the books to the cent, not roughly

One screen answers three questions: what we have, who owes us, who we owe.

Where this happens

Your systems work.It breaks at the seams

Every system does its job well inside itself. Manual work appears where data has to move on — and a person moves it.

01

Inside one system

A request from the website form, a task on a deal stage, a calendar reminder.

A boxed tool

Does it well — and that is right

Us

We leave it alone. If your plan already covers it, we say so

02

Between systems

A request from a messenger into the CRM. A spec from an email into a quote. A payment from the bank into the books. CRM data into a report.

A boxed tool

Not its territory: it only sees its own form

Us

This is where we work. The handovers go, and data lands in one place in one shape

03

Between data and decisions

Where the pipeline stalls. Which source brings deals, not just leads. What people ask most. Which customers are about to leave.

A boxed tool

Counts only what reached it

Us

We pull every source together, and AI shows where it stalled and where the money comes from

Why you cannot just buy analytics

A pipeline built on half the data shows half the truth — and that is worse than none, because decisions get made on it. Each step is only possible after the one before.

  1. 1Handovers removeddata lands in the system at once and in one shape
  2. 2Data is finally completethere is something to count: pipeline, sources, repeats
  3. 3AI reads that datashows where it stalled, what repeats, where the money comes from
  4. 4Decisions on figuresthe pipeline is rebuilt on facts, not on gut feeling

What we have built

Ours first.Two systems already running

Both are ours and both are live. These are not client case studies — those will appear here as we go. But you can open these and check.

Our own product

Reply24 — lead qualifier for US contractors

The problem

A contractor buys leads on Bark, Thumbtack and Angi. The job goes to whoever answers first — everyone else paid for nothing.

What we built

AI replies in 27 seconds in three languages, runs the conversation, hands a warm lead to the dashboard. Plus billing and automated email.

Live and open — go look at it

We put the same mechanism on your business. Only the source of the requests changes.

Project

CEO dashboard — finances of a manufacturing company

The problem

Books in one system, bank in another, projects in a third. To know what the company earned, the owner compiled it by hand.

What we built

One screen: cash on accounts, accrual-based profit, who owes us and who we owe, profitability per project. Plus a payment approval register.

Refreshes every morning, reconciles with the books to the cent

Built around how the company already worked. That is where the sense of what an owner needs on screen comes from.

Room for your project

The first client case goes here — the problem, what we built and what actually changed. No promised percentages: only what you can check.

How we work

Four steps. And a cabinet that shows everything

The breakdown and the proposal run in writing — in your messenger or email. Once the work starts we open your client cabinet: the stage of the project, what we are doing right now and what we need from you.

  1. 01Day 1

    We look at your setup

Free, no strings. Where requests get lost and what is still done by hand.

  2. 021–2 days

    We send the breakdown

A five-minute video: three specific points and what to do about them. Want to talk it through? We will call.

  3. 03After the brief

We scope it and open your cabinet

A proposal with the work listed in countable units. Once signed, the price does not move. That is when your cabinet opens.

  4. 045–7 days

    We build and hand over

50% upfront, build, review, two rounds of edits, balance on delivery. Progress stays visible in the cabinet.

What you see in the cabinet. The stage of the project and what we are doing right now, what is blocking us on your side, scope done out of scope agreed, invoices, which accesses were handed over and where the documents live. No “any news?” — you open it and see. Look at the demo cabinet. Prefer to talk it through by voice? We book a call — tick the box on the form.

How the scope is counted

Everything is counted in units. So “can we add one more?” is not an argument—it is arithmetic you can both check.

  • Setting up and running ads
  • Photo and video shoots
  • Maintaining someone else’s code
  • Managing your hosting

These are separate jobs. If you need them, say so and we will discuss them separately.

We work with businesses where an inbound request is money. If your volume is small, automation will not pay for itself, and we will tell you so straight.

Who we are

An automation studiobuilt around your workflow

We work with small and mid-sized businesses. Everything is built around how the company already runs — we do not sell a box and we do not resell someone else’s subscription.

Who we work with
Small and mid-sized business
Working language
English or Russian
Format
Remote, a call if you want one
  • We come from operations, not marketing

For over five years we built and ran business processes in manufacturing and trading companies: orders and requests, procurement and payments, reconciliations, month-end close, owner reporting. So we know what happens between the tools, not just how to connect them.

  • We test on ourselves before we ship

Reply24 is ours and it runs in production. What does not hold up for us never reaches a client — which is why we do not promise things that fall apart in week two.

  • You talk to the person doing the work

No account manager passing tickets along. Usually an answer the same day.

  • Written first, spoken if you prefer

No mandatory discovery call. You get a recorded breakdown you can watch whenever you want, and the rest happens in writing — unless you would rather talk, in which case we book a call.

Common questions

What people usually askbefore we start

We already have a CRM — will we have to replace it?

No. We work on top of what you already run: pull the data out, bring it to one shape, write it back. Bitrix24, Kommo, HubSpot, Pipedrive, Zoho and others. Tell us which one you use and we will check, and say so honestly even when the answer is no.

Will you break our bookkeeping?

We change nothing inside your systems — we only read and write through their own standard interfaces. Before launch we build the workflow against a copy of your data and show you that the numbers match what you have today. If they do not match, we do not launch.

Who owns the access, and what stays with us?

Everything is built in your accounts and on your keys. We keep nothing as leverage: the scenarios, diagrams and settings are yours from the moment of payment. If we part ways the workflows keep running, and you or another contractor can change them.

How is the contract signed and how do we pay?

The contract is signed before work starts and records scope, deadlines and price. Payment is by invoice, bank transfer; usually half up front and half on delivery. We take no cards on this site — there is no payment form here.

This is expensive

The arithmetic is simple: how many hours a month go into moving data by hand, and what one mistake in that move costs you. If the volume is small and there are few handovers, we will say plainly that it will not pay for itself. You can start with a €700 pilot — one workflow, tested on your own data.

How long does it take to launch?

Usually 5–7 days after the deposit. If a workflow involves a service with its own approval — a bank, or a document exchange operator — the timing depends on them, and we tell you up front rather than after the fact.

What happens if something breaks after handover?

Two rounds of fixes are included in the project. After that it is support: we watch the workflows and repair them when a service changes its format or an access token expires. Without support the workflows keep running, but watching them is on you.

Our data sits in three places and some of it is typed in by hand. Is that even solvable?

Usually yes, and you start with the sources, not with the software. Any report shows exactly what was fed into it: if part of the numbers is typed in by hand, the dashboard will lie just as convincingly, only prettier. So the manual entry goes first, and the counting comes after.

Your question is not here? Ask it — we answer the same day.

Free, no obligation

We will send you a breakdownof your situation

We will look at where customers slip away and what is still done by hand, then record a five-minute video: three specific points and what to do about them. Watch it whenever suits you. If you would rather go through it by voice, tick the box in the form and we will call.

  • Five breakdowns a weekWe usually reply within 1–2 business days. If the queue is full, we say so right away and tell you when we can get to it.
  • Nothing to sell youThe breakdown is yours to keep, even if we never start working together.
  • You do not need a websiteRunning on Instagram, WhatsApp or word of mouth? We will look at that too.
